1. Who We Are

Velnot is a desktop application for Windows that records, transcribes, and summarizes meetings using AI. It is developed and operated as an independent software product.

2. Data We Collect

Velnot operates primarily locally. The data involved includes:

• Audio recordings: Captured from your microphone and/or system audio. Stored locally on your computer. Optionally auto-deleted after transcription.
• Transcripts & summaries: Generated by AI from your recordings. Stored locally in your app data folder.
• API keys: Your OpenAI and AssemblyAI API keys, stored encrypted on your device using Electron's safeStorage.
• License key: Stored encrypted on your device to verify your subscription.
• Settings: Language preference, auto-delete toggle, etc. Stored locally.

We do not collect analytics, crash reports, usage statistics, or any telemetry from the desktop application.

3. Third-Party Data Processors

When you use Velnot's AI features, your audio or transcript is sent to third-party services:

• OpenAI — Audio is sent to the Whisper API for transcription. Transcripts are sent to the GPT API for summarization. OpenAI processes this data under their Privacy Policy. You use your own API key; OpenAI's data retention policies apply to your account.
• AssemblyAI (optional) — If you provide an AssemblyAI API key, audio is uploaded to AssemblyAI for speaker diarization. AssemblyAI processes this under their Privacy Policy.
• LemonSqueezy — Payment processing for license purchases. We receive only your license key and subscription status, not payment card data.

4. Recording Consent

Velnot requires you to confirm — before each first recording — that all meeting participants are aware of and have consented to being recorded. You are solely responsible for compliance with applicable recording consent laws in your jurisdiction. Recording consent laws vary by country and region.

5. Data Storage & Security

• All data is stored locally in your operating system's application data folder.
• API keys and license keys are encrypted using Electron's safeStorage (OS-level encryption).
• Audio files can be automatically deleted after transcription (recommended setting).
• No data is stored on our servers.

6. Children's Privacy

Velnot is not directed at children under 13. We do not knowingly collect data from children.

7. Your Rights

Since all your data is stored locally on your device, you have full control:

• Delete any session from within the app at any time.
• Uninstall the app to remove all local data.
• Clear your API keys from Settings at any time.

For data processed by OpenAI or AssemblyAI, please contact those services directly or manage your data through their respective dashboards.

8. Changes to This Policy

We may update this policy. Changes will be noted with a new "Last updated" date at the top of this page.
